Crossings HOA Meeting Minutes – May 4, 2003

Minutes of the Crossings Board Meeting
May 4, 2003

The meeting took place at Jack Curran’s house. In attendance were Jack Curran, Ray Spiecher, Rick Mason, Pat Mullen and Dan O’Connor.

A number of issues were discussed at this meeting. The items receiving the most attention included: Collection of Crossings Annual Dues; Budget, Grounds update as well as an update on the new entrance signs that are being considered. A new Communications Director was also sworn in.

  • Dues Collection: A discussion took place regarding how best to manage the collection process for membership dues. It was agreed that Board members should not be required to personally request late payments from Crossings homeowners. Instead, it was decided that the process of managing membership dues should be handled via Registered Mail. If a homeowner is 30 days past due with their quarterly payments, they would receive a Registered Letter from the Crossings Board requesting payment in full. If payment is not received within the time limit determined by the Board, the handling of the dues will be turned over to an attorney. Dan suggested that a chart be developed that shows when due dates are for payments and letters to be mailed, if necessary. As a reminder, dues are required as of the first day of each quarter.
  • Budget: The Board discussed the possibility of conducting an internal audit of the budget and its records. Dan suggested that Pat Mullen bring the books with him to every other meeting in order for the Board members to review finances for the community. This was agreed to by the Board.
  • Grounds Update: A discussion of getting Eckenrode to mow certain common ground locations was discussed. The area behind the homes on Hunting Ridge Trail (that border the large field) will be considered for future mowing. Currently, homeowners have been mowing these common ground areas. Ray will call to get an estimate for brush and tree removal from the detention pond. The Board also agrees to repair sidewalk areas considered safety hazards in front of the trail entrances on Crossing Ridge Trail. It was also agree that we would obtain estimates for repairing the cracks in the concrete at the Phase 1 Pavilion. Board members will also survey the neighborhood for dead trees, as a number of requests for clearing out dead trees have been received.
  • Entrance Sign Update: We continue to move forward with obtaining a 2nd bid for the proposed new stone entrance signage for all three Crossings entrances. Ray has completed paperwork with the Township to officially request permission for us to improve our entrances by bringing in the new entrance signage.
  • New Communications Director: Dan O’Connor was nominated and approved as the Communications Director for the Crossings. Dan’s role will include general communication with the Crossings neighbors via mail or through our Crossing website.
