HOA Board Meeting Notes – Sept 21, 2016

Board Meeting

Date:   Sept 21, 2016

Location: Kendlick’s Residence

Meeting started at 7:00 PM at the Kendlick’s Residence. All board members were present except Ray Speicher and Ken Chrin who were absent due to work commitments.  Two residents were present for the open floor session.

Treasurers Report:

Checking - $14,757.64

Savings - $ 5,730.49

We have two more landscaping bills and one insurance bill due before the end of the year.

Grounds:

We still need to replace 4 posts and 16 rails around the entrances to the trails.   This was approved by the board.

We have received a bid to plant and replace the dogwood trees at the entrance of the trails.  Treesdale Landscaping provided a quote for $1250 to remove all the mulch and existing trees.   In addition, they provided a quote for $4,725 to plant 14 kousa dogwood trees.  The board voted and we approved the motion to replace the trees.

The toy duck from the common area that was recently broken is missing.  If anyone knows the whereabouts of this duck, please contact the HOA.

Web Site:

We currently have 121 people signed up for the Facebook page.   We also have 188 people signed up for the Website.

We are going to begin to clean out users that have registered for the website and Facebook page who have moved out of the neighborhood.

The Crossings Neighborhood directory is in desperate need for updating.   We are going to begin to update the directory in the next month.   It was decided that we will be listing all resident’s names in the directory.   However, if any resident wants to list other information like phone number, email, family members, a form will be emailed to collect this information.

Old Business:

We received notice that the owner of the house on Trowbridge Place has recently filed for bankruptcy.

New Business:

The residents who were present brought up a concern about the renters in the neighborhood and them maintaining their yards up to the standards dictated by the HOA covenants.   This led to a lively discussion regarding this situation as to the best way to enforce these rules.    We will be providing more information in the future as to what our plan of action will be.  One option is to take a look at the covenants and strengthen them.

We will also be sending around a survey to all residents to get feedback as to what they like about the Crossings and what they would like us to improve.   The feedback from the residents will be very important as we move forward in the future.   Mike Kendlick took an action item to draft a list of questions that we will send in the survey.

A resident complained about a shrub blocking the exit on Hunting Ridge Trail.   The HOA Board is currently investigating this complaint.

Next Meeting:

The next board meeting will be held on Oct 26th at 7:00 PM at the Bogdon’s residence, 114 Crossing Ridge Trail.
