HOA Annual Meeting Notes – May 7th, 2014

Annual Meeting

Date: May 7, 2014 at 7:00pm

Location: Phase 1 Park Pavilion

The meeting began promptly at 7:00 PM. The following board members were present: Jack Curran, Brian Kile, Chuck Kraynik, Jim Lacey, Ray Speicher, and Kevin Sullivan. Chris Bogdon was unable to attend due to work obligations.

There were 10 other Crossings homeowners in attendance.

Opening Comments

Board President Brian Kile opened the meeting by thanking all for attending. He reviewed a short list of prior year projects including the amended covenants; ongoing tree removal work; continued improvement of the web-site; the planned walking trail connection with Park Place; and the fact that the budget is balanced.

Treasurer's Report

Jim Lacey reviewed the 2014 budget. Anticipated 2014 expenses will range from $25,241 to $30,241 depending on the actual number of trees to be removed and also depending on the final cost of repairs to the pavilion, picnic tables, etc in Phase 1 park area.

Income reconciliation shows a carryover balance from 2013 of $10,609.45 and 2014 income from dues and fees of $22,541.23 for a total of $33,150.68 as of 3/27/14.

2014 dues collection is complete with all homeowners paid in full.

Grounds Report

Ray Speicher is working with Jessen Tree Service on an exclusive contract for tree removal needs in The Crossings common areas. The negotiations are ongoing but aimed at including tiers of a discount/rebate for varying spending levels.

Annual clean-up day is scheduled for Saturday, May 17 from 10am until 12 noon. Volunteers are asked to meet in the Phase 1 Park Pavilion for instructions. This is a great way to spend some time with neighbors, some of whom are new to The Crossings, and to spruce up the neighborhood. Please consider joining us.

Election

Four individuals submitted nomination statements seeking to fill three open Board positions. Twenty three votes were received at the P.O. Box. These were opened at the meeting. The three individuals with the highest vote tallies are: Chris Bogdon, Brian Kile, and Kevin Sullivan. Assignment of Board positions will be done at the next scheduled meeting.

New Business

It was asked if all measures had been taken to minimize postage expense for required mailings. After some discussion, it was recommended that Ballots and Nominations letters be included in the same mailing as the annual dues letter.

The timetable for the connecting trail to Park place was questioned and Brian Kile informed us that it would be later this summer.

There were comments concerning various signs posted near the plan entrances at different times throughout the year. By copy of these notes, it is requested that those individuals placing the signs also should remove them when they are no longer needed.

We spoke of the Board’s prior discussions about methods to engage more residents’ participation in social activities. There were ideas about a block party or an annual picnic. The Fry family noted that there is an annual team party during the first week-end in August for the Cranberry Cup team members. Becky Fry graciously volunteered to work on expanding the attendance and holding the party in the Phase 1 Park. Watch for more information about this in future meeting notes. Anyone interested in volunteering some time to participate in the social committee activities should reply on the web-site or contact the Board members. Joining the social committee to coordinate these activities and to welcome new neighbors is a great way to get involved.

The Alberts at 805 Trowbridge have some decorative tall grass plantings available for anyone who may be interested in adding them to their landscaping.

Next meeting

The next scheduled meeting of the board will be Wednesday, June 11th at 7:00pm at the Curran residence at 501 Sheffield Court. As always, anyone wishing to present ideas, comments, problems, etc is invited to join us for the first half-hour of the meeting.
