HOA Board Meeting Notes – Nov 30, 2016

Board Meeting

Date:   Nov 30, 2016

Location: Bogdon’s Residence

Meeting started at 7:00 PM. All board members were present except Ray Speicher who was absent due to work commitments.  Two residents were present for the open floor session.

Treasurers Report:

Checking - $4874.40

Savings - $ 5,731.21

We have one more landscaping bill, one insurance bill, a legal bill, and a electricity bill due before the end of the year.

We have received 9 resale certificates.

All of the 2017 HOA Dues notifications were sent out to all residents.

We are currently preparing the 2016 Financial Report as well as the 2017 Budget.   These reports will be posted in the near future when completed.

Grounds:

Dogwood Trees were installed by Treesdale Landscaping at the entrances to the trails.

The contract for landscaping is expiring at the end of the year.  The board will discuss extending the contract with the landscaper.

One resident was present with concerns about trees being planted at one of the trails.   The planting of these trees will be deferred until the spring.

Web Site:

The Crossing’s HOA Website has 169 users registered.   There are also 121 Facebook members in the Crossings Neighborhood Group.

We are going to begin to cross post messages on both the Email Broadcast list as well as Facebook.   This will allow us to get more and more coverage with the information.

We have recently implemented aggressive SPAM mechanisms on our web site.  Unfortunately, WordPress websites are notorious for spammers trying to use it for sending spam.   Since the implementation in October 2017, we have successfully blocked 6884 spam attempts to the website.   In addition, we have totally blocked registration attempts from mail domains that are notorious for sending spam.

Old Business:

There is no more update with the house in foreclosure on Trowbridge Place.   When anything changes, we will communicate to the residents.

The HOA Board will be scheduling another meeting to discuss the proposed amendment to the covenants.

There will be one board member stepping down in April 2017.   If you are interested on serving on the Board, please let us know.

New Business:

Luminary night will be held on Dec 18th.   All orders should be turned in by December 4th.   A Reminder email was sent out and posted on Facebook.   We are also investing the option for another alternate date if weather poses a problem on December 18th.

A resident was wondering if there is anything that we can do to enforce the participation in the luminary night.   Unfortunately, there is nothing the board can do to enforce that residents participate.

A resident also was wondering if we can place signs to alert residents of the luminary night.   The board voted that we are using both the email and facebook sites to promote the events.

We were soliciting volunteers for a Christmas Party to also be held on December 18th.   Unfortunately, we have gotten no interest therefore there will not be any Christmas Party this year.

We still are talking about forming a social committee to continue the traditions that we hosted in the past.

There have been a few complaints about houses that have not provided the required maintenance to their yards.   We will be contacting these residents.

One of the resident that was present at the meeting wanted to convey thoughts he had with amending the covenants.   We appreciate the feedback and will continue to solicit more feedback from residences as we progress down this path.

The next board meeting will be held on Dec 22nd at 7:00 PM at the Kendlick’s residence 301 Winchester Court.
