HOA Board Meeting – Nov 13, 2013

The Crossings Homeowners Association

Board Meeting

Date: November 13, 2013 at 7:00pm

Location: Sullivan Residence

The meeting began promptly at 7:00 PM at the Sullivan residence. The following board members were present: Chris Bogdon; Jack Curran; Brian Kile; Chuck Kraynik; Jim Lacey; and Kevin Sullivan. Work obligations prevented Ray Speicher from attending.

No Crossings residents were present for the open floor portion of the meeting.

The minutes of the October 16, 2013 meeting were read and approved.

Treasurer's Report

As of November 13, 2013:

Savings Account balance -     $5,722.63
Checking Account balance - $12,151.43

2013 Dues collection is current.

We expect to receive another electricity bill; one more landscaping invoice; and the insurance invoice and should end 2013 with a checking account balance of approximately $10,000

Grounds Report
Several items were recorded in the notes from the October meeting that would be remedied in the spring next year. So we don’t lose sight of these, we will include them in the minutes of each meeting until then. These include:

  • Remove and replace shrubs at the Stonehenge entrance to the plan.

  • Check into some tall grass plantings for the Phase 2 retention pond area.

  • Phase 1 pavilion and picnic table repairs and repainting of the playground equipment.

 

New Business

We received a notification from a resident on Hunting Ridge Trail that a tree in the free space is leaning over his property and it could potentially damage an existing fence and perhaps even the home.

We also received notification from another homeowner on Winchester Court where trees from the free space did fall and caused fence damage.

Chris Bogdon and Jim Lacey will visit both properties and arrange the appropriate remedies with these homeowners.

An informal observation of The Crossings was done during a two week period at the end of October and in early November. It revealed that a significant number of homes have lamp posts that were not in working order for the full two week period. Our Covenants require that each home have a working post lamp. We plan to post a notice on the web-site noting this concern and notifying everyone that this will continue to be monitored through the end of this year. Those homeowners not in compliance at that time will be contacted by the Board and could potentially be fined. Chris Bogdon volunteered to draft this notice for the Board to review prior to posting on our web-site.

Jim Lacey prepared the letter for notification of 2014 HOA dues that was approved. Copies will be mailed by mid-December.

Brian Kile will prepare the 2013 President's Letter.

A homeowner had planted some new shrubs in the free space near his home and had asked for reimbursement. A motion was made to approve but there was no second to this motion.

Chris Bogdon reported that there are now 134 registered users on our web-site. Several neighbors in homes that are rented had asked for permission to use the “Resident’s” section of our web-site to stay current on the content that is posted there and this will be done.

A notice was posted on the web-site on November 6th with information on the upcoming “Celebrate The Season Night” at the Phase 1 pavilion area at 6pm on December 15th. This coincides with the annual Luminary Night and will be a good time for all.

The next meeting is scheduled for December 4th at 7pm at the Curran residence at 501 Sheffield Court.
