Board Meeting

Date: December 12, 2012 at 7:00pm

Location: Speicher Residence

 The meeting began promptly at 7:00 PM at the Speicher residence. The following board members were present: Jack Curran, Jim Lacey, Brian Kile, Chris Bogdon, Chuck Kraynik, Ray Speicher, and Kevin Sullivan.

The November meeting minutes were read and amended to correct an error. As originally recorded and posted on our web-site, the November minutes incorrectly stated that wood from the tree removal project would be placed in the Phase 1 playground area. This wood has been piled in the free-space areas closest to the locations of these trees.

Treasurer's Report

Savings - $5,719.75
Checking Account balance - $5,526.42

We have received 5 bids to replace the insurance coverage that is being cancelled by Travelers on Friday, 12/14.The McGroarty and Bradburn office of the Auto Insurance Company was the lowest bidder at $1,249 annual premium for the same coverage that had been provided by Travelers.

The invoice to Goerl Landscaping for the final November clean-up was $459.10 and has been paid. In response to complaints from neighbors, an additional $200 was paid to clean-up the property at 163 Crossing Ridge Trail. From posted signs, this property is now controlled by Fannie Mae and appears to be in the process of a Sheriff Sale. The Board will provide to Fannie Mae a summary of fees owed to our HOA on this property.

Ray Speicher and Jim Lacey met with the homeowner on whose property the HOA had placed a lien for dues and fees in arrears. After prolonged discussion, this homeowner provided a check for $600 and agreed to pay the balance but asked for the Board to develop a time-payment plan. This plan will be drafted by the Board and submitted to this homeowner.

The Board approved keeping the 2013 HOA dues the same as in 2012. Details will be included in the year-end annual letter.

Grounds Report

In November, Kohler Tree Removal cut 26 trees that had been prioritized by the grounds committee. There is another tree in free-space between two properties on Crossing Ridge Trail that has multiple trunks and will be more difficult to bring down safely. Kohler submitted a bid of $1,000 to cut and remove and a bid of $800 to cut and stack the wood. The Board voted to get a second bid for this work.

The vandalized light at the Stonehenge entrance to the plan was repaired at a cost of $415.

Web-site

Chris Bogdon reported that there are 90 people registered to use the web-site, up from 60 people in November.

The problem with the site capability for sending multiple e-mails has been resolved and appears to be working fine.

Several requests have been received from homeowners regarding using the web-site to communicate information on fund raisers; charities; sales, etc. Kevin Sullivan suggested that the existing Crossings Facebook page should be used for this purpose. He will provide the Facebook registration information to Chris for testing.

The Board agreed that this year’s annual letter will contain an information request for homeowners’ address, phone number, and e-mail address. This information will be used to build a new Directory that will be available on the web-site.

Chris, Jack, and Jim will collaborate to get all of the information required in the annual letter (financial report, dues-payment coupons, directory information request) and get it mailed prior to year-end.
Social

Luminary orders were placed and filled in preparation for Luminary Night on Sunday, December 16th. Arrangements are made for Santa to arrive via Cranberry Township fire truck and meet with children and their parents in the Phase 1 playground area. Cookies and other refreshments will be provided.

New Business

There was no new business reported.

Covenants

The Board continued the discussion regarding amendment of The Crossings Covenants and by-laws. Good progress was made and the goal remains to have the Covenants and By-laws available to all homeowners for their review prior to voting on their approval at the 2013 annual meeting.

Next meeting is set for 7:00 PM on Wednesday, January 9th at 7pm at the Kraynik residence.
