Crossings HOA Meeting Minutes – Sept 9, 2003

CROSSINGS’ ASSOCIATION BOARD
MEETING MINUTES

Meeting Date:  Tuesday, September 9, 2003 at 7:30pm

Review Past Due List at next meeting

Shed Issue:

Crossings’ attorney still reviewing covenants regarding ‘buildings’ and ‘buildings’ terminology.
This issue has been tabled until the attorney gets back to Ray.

Grounds:

Bids for grounds maintenance are sent out and reviewed every 3 years.  Pat Francis has sent out for 4 bids but has only received 2. Pat wants bids to be broken down so he will send the 4 vendors a form requesting the bid to be itemized.

So far, the two bids that came back are $8510 and $9900 for bare bones ground maintenance (ie. 24 cuts/year, mulch, chipping).

The board will schedule a Clean Up day for this fall.

The board tabled the discussions of having a Shredder Day. Cleaning of common area needs to be discussed in detail and reviewed in the covenants.

Board will review the cost of gravel to be placed in all walkways in the plan. This would eliminate the need for maintenance and upkeep (mulch, chipping, etc) every year.

Board discussing the need for sidewalks to be replaced in front of the common areas. Quotes need to be obtained.

No Dumping Signs have been taken down. Pat will replace with new ones.

It has been agreed that dirt (3 tons) and grass seed will be placed behind Lesjack and Baker’s houses (Trowbridge Place).  This will be done when ground is hard.  The cost for this is $400.

Entrance Sign:

Easement agreements are currently in the Homeowner’s hands (Jim Lacey and Donald Lane).  These are expected be signed and returned to Ray Speicher by Friday, September 11th.  These agreements need to be notarized and then delivered to Butler to the Record of Deeds office.

Once the paperwork is complete, the rock signs will be ordered.  It will take approximately 4-6 weeks for these to be completed. 

Before the signs are placed, the area needs to be cleared. Pat Francis is working on this.  It was also suggested that gravel be placed under the rocks.

Welcome Packets:

Board agreed to purchase 100 mouse pads with the Crossings’ website on them for $2.25 each.

Items to be placed in the welcome packet include:

  • Welcome letter – from the Crossings’ Board
  • Crossings’ phone directory
  • Calendar of events
  • Information packet – including quarterly assessment/social committee & Mother’s Group information
  • Mouse pad
  • Binder to place all documents

Dan will have a complete welcome packet to show the board at the next meeting.

Social Committee:

The social committee held its first meeting on August 27th.  Meeting minutes can be found on the Crossings’ website. The 2003 events include:

      • Fri. October 3rd Happy Hour Hop – (Crossings Crawl) – similar to a progressive dinner, but neighbors would serve alcohol and hors d’oeurves.

      • Wed. November 12th Crossings’ Women’s Night Out – All women of Crossings invited to meet for dinner/drinks at Dominico’s at 6pm until ?
      • Thurs. December 11th Christmas Cookie Exchange
      • Sun. December 21st Christmas Party at Pavilion – with Santa Claus/Bonfire
      • Luminary Night
      • Mon. December 22nd   Christmas Party and Luminary Night rain date

Board agreed to pay for postage and copying of flyers for the remaining 5 scheduled events for 2003. This amounts to $352.50.

Denise to bring list of 2004 events and copying/postage costs associated with planned activities to next board meeting.

Miscellaneous:

A meeting will be scheduled by Ray and Dan to create a list of what the Board wants the attorney to review in the Crossings’ covenant. (ie. Dumping, etc).
