MEETING MINUTES

Agreed upon events for the rest of 2003 calendar year include:

      • Fri. October 3rd Happy Hour Hop – (Crossings Crawl) – similar to a progressive dinner, but neighbors would serve alcohol and hors’dourves.

      • Wed. November 12th Crossings’ Women’s Night Out – All women of Crossings invited to meet for dinner/drinks at Dominico’s at 6pm until ?

      • Mon. December 22nd   Christmas Party and Luminary Night rain date

EVENT SPECIFICS

Progressive Happy Hour:

This has been renamed “Happy Hour Hop” since there is no ‘progression’ happening (other than people getting drunk).  The concept of this is similar to a progressive dinner where one house would have the appetizer, another the main course, and another dessert.  However, instead of having different meals, this will be organized so each household that signs up will ‘sponsor’ a drink (preferably alcoholic) and an appetizer.  Depending of the number of households that sign up, will depend on how long the group is to stay at each house.  The details and specifics as well as the agenda for the evening will be determined one week prior to the event so all participants are notified well in advance.

Action items that need to be completed for this activity include:

  • Develop Flyer – Denise to write text and Sherry to create graphics.  Should be mailed by Sept. 10th to give enough notice.
  • Copy Flyer – Ray Speicher has volunteered to make copies for us.
  • Mail Flyer – Denise to confirm with Crossings’ Association Board of Directors that they will pick up costs for mailings.  Denise to find out if Crossings’ has a mailing permit and contact US Post office about mailing specifics (quantities for bulk mail, bulk mailing rate, mailing tri-folded and stapled items, etc.)
  • Return of Participation Form will be sent to attention of Denise or Maureen.
  • Schedule of Events for the evening will be completed Thursday, Sept 25th.  This will cover the where and when the participants will be going throughout the evening.  Kathy McKibbin will be creating the Crossings’ Neighborhood Map which will accompany the Schedule of Events.  Copies of both of these items will be delivered to all participants.

Halloween Parade/Activities:

Co-chairpersons: Karen Albert and Amy Baird

Karen Albert has organized this event for the last several years.  She currently has all the games and some left over Halloween items.  She has agreed to chair this event with assistance. Amy has volunteered to assist Karen in planning this event.

Karen has documented all the games/activities at this event. She will send the electronic copy to Denise. Denise has a couple of additional items to add and then will send the document to Amy.

According to Karen, there were approximately 30-35 children who participated in this event.  There seemed to be smaller children then the 8-14 year range.

Action items that need to be completed for this activity include:

  • Develop Flyer – Sherry will get electronic copy of what was used last year from Karen Albert.  Sherry will create new flyer incorporating the Crossings’ logo.
  • Copy Flyer – Ray Speicher has volunteered to make copies for us.
  • Mail Flyer
  • Return of Participation Form & Collection of Money
  • Cookies – we will ask for assistance from 4-5 people to bring one dozen cookies for this event. Tracy Vaccarello and Adrienne Levis have agreed to assist us with this activity. We can ask their assistance with bringing cookies.
  • Coordinating Volunteers for the Games – This would also be a good area where Tracy and Adrienne can help since they have older kids that has help with the games.  They can also help us identify other kids in the neighborhood who we can ask to assist us with the children’s games.
  • Purchase Items

Crossings’ Women’s Night Out:

Christmas Party/Santa Claus/Luminary Night: 

Co-chairperson(s): Denise Slusser and TBD

Denise to contact Peggy Plocido to find out who headed this up last year.  Denise will have more information at next Social Committee meeting.

Action items that need to be completed for this activity include:

  • Develop Flyer – Denise will try to get a hold of what was sent out last year.  Does anyone have last year’s copy?
  • Copy Flyer
  • Mail Flyer
  • Return of Participation Form & Collection of Money (for luminaries only)
  • Cookies – Although we ask all families participating to bring one dozen cookies, we will need to supply extra cookies if needed. Therefore, we will ask for assistance from 3-4 people to bring one dozen cookies for this event.
  • Secure Santa Claus
  • Secure Lead for Bonfire – This person will be responsible for contacting the fire dept and getting any permits needed; obtaining the wood/materials; creating the spot for the bonfire; putting the bonfire out at the end of the evening.
  • Obtain Lights for outdoors – The Crossings’ own large lights for night events. Pat Francis stores these lights at his home.
  • Music/Music box
  • Chair – Large comfortable chair for Santa Claus to sit in under the Pavilion.
  • Purchase Items – Candy for Santa Claus to hand out to all the children.  Trash bags, napkins, plates, hot chocolate, and hot cider will also need to be purchased.   Paper bags and candles need to be purchased for the Luminaries.
  • Distribution of the Luminaries
  • Am I missing anything else?  I’m just going on memory of the two times we’ve attended this event.

I have tried to catch everything that we discussed at the meeting. Please let me know if I’ve left anything out or if you would like to contribute additional information.

Our next meeting will be scheduled in October where we will discuss more of the events in detail.

This was our first Crossings’ Social Committee meeting and I thank all who participated. Thank you in advance to all of you for your efforts in helping to make our neighborhood an active and fun place to live!
